Hall Booking

Hallbook is a booking and billing program designed to allow Town and Parish Councils to control and manage the hiring out of Halls and Function Rooms all the way from the initial booking to final invoicing. It provides on screen diaries for bookings, produces invoices, standard letters, and reports. Invoices may be automatically exported into Sage or Pegasus sales ledgers.

* Runs on Windows Operating Systems (98, NT, XP). It is fast to run and easy to learn and use.
* You can enter bookings for each location for up to two or three years ahead if required.
* On screen diary shows all bookings for each day along with start and finish times - on a month to
   view basis
* Records all booking details such as hall, charge rate, type of function, times, options, etc.
* Automatically calculates invoice price from table of hourly or fixed rate for each hall or facility.
* Multiple bookings can be charged on a single invoice when required.
* You can enter additional options taken (such as bar, stage lighting, refreshments, equipment hire). *
   The cost of these is automatically included on the invoice.
* Easy to tailor to your exact requirements. You can easily customise all lists to fit your own
   terminology and methods of working.
* Standard reports include Booking summaries, Status reports, Revenue by Hall, Halls booked by
   function, and Weekly Caretakers’ Schedules, but a powerful Report Generator allows you to design
   further reports of your own.
* There is space on every booking record for general comments for internal use.
   Confirmations and letters may be sent individually as bookings are taken, or as a selected batch. *   * You can create your own standard letters.

All bookings are made from an on screen diary. A separate diary is set up for each Hall or facility and each diary allows up to 10 separate bookings a day. Each day or group of days can be marked as a holiday (useful for when entering multiple bookings for term time activities). A simple click on a booking brings up its details. Entries may be made up to three years ahead.

SETTING UP DATABASES
Hallbook uses a series of templates to set up databases quickly. Existing data held on spreadsheets or on other databases can be transferred using the powerful Tools program supplied.

NETWORK OPERATION
Hallbook runs on any PC or PC network. If used on a networked environment, any number of users can have access to a single database for enquiries and reporting, but only one user at a time can enter or change data

PRICES
The price for an installed and customised version of Hallbook is £950 plus VAT. We charge extra for data conversion and training. Software maintenance, covering program updates and telephone and email support, is available on an annual basis.
